Privacy policy
This policy covers information collected through www.sinclairshotels.com, our reservations team and our hotels.
Consent
By making a booking, sending an enquiry or using this website, you agree to us using your information as this policy describes. You can withdraw consent at any time by writing to our Grievance Officer. We will then stop using your information, except where we must keep it by law or to complete a stay you have already booked.
Information we collect and why
- Bookings and quotations: your name, email, mobile number, stay dates, room and guest details, and any requests you send. We use them to confirm and manage your stay, send your confirmation, voucher or quotation, and contact you about it.
- Enquiry and contact forms: the details you enter, used only to answer your enquiry.
- Payments: card, UPI and net-banking payments are processed by our payment gateway, ICICI Bank. We don't see or store your card details. We keep the payment reference and amount for our accounts.
- Travel agents: for bookings made through an agent, we receive the agency's details and the guests' names from the agent. The agent is responsible for having the guests' consent to share them.
- Group stays, weddings and events: the organiser gives us guest names and details and is responsible for having each guest's consent. We use them only to host the event and the stays.
- Job applications: when you apply through our Careers page, we collect your name, contact details, CV and anything else you send, and use them only to assess your application. If you aren't selected, we may keep your application for up to 12 months for future openings unless you ask us to delete it.
- Shareholders and investors: information you send through Investor Relations is used only to answer your query.
Information we receive from others
We receive booking details from travel agents and travel websites (such as Booking.com, Agoda and MakeMyTrip) when you book through them, payment status from our bank, and information from government or legal authorities where the law requires.
At the hotel
- Check-in: Indian law requires a government photo ID for every adult. Foreign nationals must provide passport and visa details, which we report to the authorities as the law requires (Form C).
- CCTV: public areas are monitored by CCTV for safety and security. Recordings are kept for a limited period and shared only with the authorities when required.
- Wi-Fi: where we offer guest Wi-Fi, usage logs are kept as Indian telecom rules require.
- Photographs and filming: we sometimes photograph or film in our hotels for our website and social media. We won't publish a recognisable photo of you without your permission. Tell the front desk if you'd prefer not to appear.
Visitor (analytics) data
Our servers record the pages visited, the time of the visit, the approximate city, and browser and device type. We use this only for internal reports on how the website is used. We don't sell it.
Cookies
We use cookies so the website works properly and to understand how visitors use it. You can block cookies in your browser; some features, such as booking, may then not work.
Phone, email and WhatsApp
When you call, email or WhatsApp us, we keep the conversation so we can answer you and manage your booking. We contact you only about your booking, quotation or enquiry.
Feedback and reviews
If you give us feedback or answer a survey, we use it to improve our hotels and service. We publish a comment only with your permission, and then with your first name only.
Who we share information with
- The Sinclairs hotel you are staying at.
- The service providers who host this website, process payments and send our emails, only as far as they need to provide that service.
- Government or legal authorities, where the law requires it.
- If the business or a hotel is sold or merged, the new owner, who must protect your information as this policy describes.
We don't sell your information or share it with anyone else without your consent.
Bookings through other websites
If you book through a travel agent or travel website, that company's own privacy policy applies to what you give them. We receive only what we need to host your stay.
How we protect it
Our website uses an encrypted (HTTPS) connection. Access to guest information is limited to staff who need it for your booking, each with their own sign-in, and access is recorded. No internet transmission is completely secure, so please don't send card details by email or WhatsApp.
Where your information is stored
Our website and booking system run on cloud servers that may be located outside India. Wherever it is stored, your information is protected as this policy describes and handled in line with Indian law.
If there is a data breach
If a breach affects your personal information, we will tell you and the relevant authorities as Indian law requires, and say what we are doing about it.
How long we keep it
Booking and payment records are kept for as long as tax and accounting law requires. Enquiries are kept only as long as needed to respond and follow up. ID copies and CCTV recordings are kept only as long as the law requires.
Children
Bookings are made by adults. We collect children's names and ages only as part of a booking made by a parent or guardian.
Emails we send
We send emails about your booking, quotation or enquiry, and one follow-up on an unpaid quotation. We don't send marketing emails unless you've asked for them, and every marketing email has an unsubscribe link.
Your rights
You can ask us to:
- show you the personal information we hold about you;
- correct it if it is wrong or incomplete;
- delete it, unless the law requires us to keep it (for example, invoices);
- stop using it for marketing;
- withdraw your consent.
Write to our Grievance Officer. We reply within 30 days.

Advisory alert
Fraudsters have used our name and address to sell fake room bookings and collect payment into fraudulent bank accounts. Our only website is www.sinclairshotels.com. Before paying, check the website address and that the bank account is in the name of Sinclairs Hotels Ltd. We are not responsible for payments made on other websites or into other accounts. Our website may link to other sites, such as maps or social media. Their privacy policies apply when you visit them.
Changes to this policy
We may update this policy. The date below shows when it last changed.
Governing law
This policy is governed by the laws of India. Disputes are subject to the courts of Kolkata.
